Refund Policy

All payments made to Huxford Genealogical Society, Inc. ("the Society") through huxford.com are final. This includes membership dues, donations, Store purchases and event registrations. All prices are in U.S. dollars.

No refunds

Once a payment is made, it is not refunded for any reason. Please review your selection before you pay.

Membership dues

Membership dues are not refundable at any level: Bronze, Silver, Gold, Platinum or Lifetime. Annual memberships last one year from the date of payment and do not renew automatically, so no further charges are made unless you choose to renew.

Donations

Donations are not refundable, including any amount added to cover the processing fee. If you set up a recurring donation, you can stop future payments at any time by contacting us. Payments already made are not refunded.

Books and Store items

All Store sales are final. If a book arrives damaged, or you received the wrong item, contact us within 30 days and we will send a replacement.

Events

Event registration fees are not refundable.

Privacy Policy

Huxford Genealogical Society, Inc. ("the Society," "we") respects your privacy. This policy explains what information we collect through huxford.com, how we use it, and the choices you have. We do not sell or rent your personal information.

Information we collect

• Information you give us. When you join, renew, donate, buy from the Store, register for an event or contact us, we collect your name, mailing address, email address, phone number and the details of your request. Donation forms may also include the fund you choose and any comment you add.
• Membership records. Your membership level, start and renewal dates, and payment history.
• Order details. Items purchased and, if an order is mailed, the shipping address.
• Website information. Our website runs on WildApricot, which uses cookies and collects standard technical data such as IP address, browser type and pages visited. Cookies are needed for log-in, the shopping cart and payment forms to work.

Payment information

Card and bank payments are processed by our payment processor through WildApricot. The Society does not see or store your full card number. We keep a record of the amount, date and type of each payment for our financial records.

How we use your information

• To process memberships, donations, Store orders and event registrations
• To send receipts, renewal reminders, meeting notices and Society news
• To answer questions and research requests
• To keep accurate membership and financial records
• To run and improve the website and the library

Member directory

The website includes a member directory. Depending on your privacy settings, your profile may be visible to other members or to the public. You can choose which details are shown, or hide your profile, from the privacy settings in your member profile. You can also ask us to make these changes for you.

Who we share information with

We share information only as needed to run the Society:

• Service providers that act on our behalf, such as WildApricot (website and membership software), our payment processor, and postal or shipping carriers
• When required by law, such as in response to a subpoena or court order, or to protect the rights and safety of the Society, our members or others

We do not sell, rent or trade your personal information to anyone.

Email

We send email about your membership, payments and Society activities. You can opt out of newsletters and announcements at any time by using the unsubscribe link in the email or by contacting us. We will still send messages tied to a payment or account, such as receipts.

How long we keep information

We keep member and payment records for as long as you are a member and for as long as needed to meet tax, accounting and legal requirements.

Security

We use reasonable measures to protect your information, and payments are handled by a secure processor. No website or storage system is completely secure, so we cannot guarantee absolute security.

Children

This website is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has given us information, contact us and we will delete it.

Your choices

You can view and update most of your information by logging in to your member profile. You may also ask us to correct or delete your information. Some records, such as payment history, may need to be kept for legal or accounting reasons.

Links to other sites

Our website may link to other sites, such as our Facebook page. Their privacy practices are governed by their own policies.

These terms apply to your use of huxford.com, operated by Huxford Genealogical Society, Inc. ("the Society," "we"). By using the website, creating an account or making a payment, you agree to these terms. If you do not agree, please do not use the website.

About the Society

The Society collects and preserves genealogical information of the Wiregrass area of South Georgia and North Florida and operates the Huxford-Spear Genealogical Library at 20 S. College St., Homerville, Georgia.

Your account

You agree to give accurate information when you join, renew, donate, order or register. You are responsible for keeping your log-in details private and for activity under your account. Tell us right away if you think someone else has used your account.

Membership

Membership levels, prices and benefits are listed on the Join Us page. Annual memberships last one year from the date of payment and renew manually. Lifetime memberships do not expire. The Society may change membership levels, prices or benefits for future terms; changes do not affect a term you have already paid for. The Society may end a membership for conduct that violates these terms.

Payments

All prices are in U.S. dollars. Payments are processed securely through the website's payment processor. A membership, order or registration is complete once payment is received. All payments are final and are not refunded; see our Refund Policy.

Store orders

We try to describe Store items and show prices accurately. If an item is out of stock, we will contact you and ship it when it is available.

Acceptable use

When using the website, you agree not to:

• Break any law or use the website for fraud
• Access another person's account or try to get around site security
• Copy member directory information for sales, mailing lists or any commercial use
• Send spam or harmful code, or interfere with how the website runs

Genealogical information

Family histories, records and other research material on the website and in the library are provided for personal research. They come from many sources and may contain errors or gaps. Please check important facts against original records. The Society is not responsible for decisions made based on this information.

Content and copyright

Text, images and publications on this website belong to the Society or to the people who contributed them. You may view, print and save material for your own personal research. You may not republish, sell or copy large portions of it without written permission from the Society.

If you send us material, such as family histories, photos or corrections, you confirm you have the right to share it, and you allow the Society to keep, use and share it as part of its collection and mission.
